Retention Schedules

It is imperative that retention criteria can be applied to records that are held electronically. Records must be accessible for the full duration of their anticipated lifetime (as determined by the organisation’s retention schedules). In addition to ensuring that records remain accessible throughout their anticipated life span it is equally important that electronic records are not inadvertently over-retained. Retaining electronic records beyond their disposal date not only attracts additional costs but may also expose the organisation to unnecessary risks. The over retention of records may be damaging or prejudicial to the organisation, for example in the event of litigation and non-compliance with legislation, for example the Data Protection Act, may constitute an offence, which in turn could result in prosecution.
